Mr. Grubbs:  I am in charge of all document storage and preservation for the firm. You have requested access to certain files and they have been located and moved to this office and reviewed by the partners and they have consented to you reviewing them in their entirety. I am authorizing to tell you that there has been nothing found that the firm is keeping as confidential from your review. However, these files belong to the firm and are being made available to you. Before I allow you to see the files, I need to see some identification.

Bette and Tina produced their California drivers’ licenses and an assistant took them away to make copies. Mr. Gibbs went on with his information.

Mr. Gibbs:  I am leaving you these sticky tabs to mark documents you would like copied and taken with you. At the end of your review, the clerk who will assist you, will make and provide you copies of your marked documents. You will be billed at twenty-five cents per page for copies. The clerk will inform you as to when and where you may pick up your copies. Now you may not make any marks on any document belonging to this firm. Any questions?

Bette: Is it permissible to copy an entire file?

Mr. Gibbs: My instructions were that you were to have full access to these files and you may copy what you wish. So, if you want an entire file copied, I see no reason not to grant your request. You will be billed accordingly. Oh, and it is my understanding that you have access to this room until 2:00 pm. At that time, if you have not completed your review, we need to schedule some additional time. If you complete your review before that time, please inform the clerk so that they may return the files to storage and the room may be readied for another client. Ladies, it’s a pleasure to meet you and have fun.

The assistant then came back in with the driver’s licenses and gave them back to Bette and Tina.

Julie:  My name is Julie and I have been assigned to assist you today. We have coffee and water for you on the credenza and I will be making copies as you need. Now, if you would like for me to order you lunch, then just ring my extension which is 9101. If you need the ladies’ room it’s out the door to your right down the hall about half way and on the right.
